What’s New
Signals Notebook has been enhanced with the addition of Chemical Registration, Equipment, and Molecular Biology library management. This is a limited release to select customers, a full release will follow. Users can now add new compounds and other materials, identify duplicates, and document the use of these materials within experiments. This release also comes with a UI redesign and some additional options for search, available for everybody. Finally, this release includes the first release of the E-Notebook Archive to enable search of existing E-Notebook content within Signals Notebook for existing customers of E-Notebook Enterprise. Further Details Search Updates Range searching in numerical fields are now supported. User Interface Updates The Dashboard, Search, and Smart Folders (Notebooks, Experiments, Chemicals) icons have moved to maximize usable space. Additionally, you can always create new Experiments and Notebooks from wherever you are in Signals Notebook from this toolbar. The service level agreement document is now accessible from under the User menu. For administrators of Signals Notebook Standard or Private Cloud the admin interface has been similarly adjusted. Additionally, the roles and privileges screen has been organized to make viewing types of privileges easier. Compound Registration, Plasmids, Cell lines, Antibodies and Equipment This capability is only available to users and administrators of Signals Notebook Standard or Private Cloud and is unavailable as part of Signals Notebook Individual Edition. Additionally, we are making this capability available to select initial customers although anticipate a broader general release soon. Administrative setup is required before end user access is enabled. Users can now add Materials, specifically Compounds, Plasmids, Cell Lines, Antibodies and Equipment to Signals Notebook. During submission Signals Notebook will guide the user through resolving any potential duplicates and assign each new Material a unique ID. Each item in the library is then fully searchable. Additionally, users document the use of the Materials within an experiment by adding a new table type to the experiment. The table allows the user to either enter the unique ID or browse for Materials and add them into an experiment along with their related data. To support these workflows the administrator can define the behavior of the Libraries including the syntax for the ID generation, additional fields, uniqueness checking rules, the behavior of the table within experiments and security and access on the materials. This definition is all maintained within the administrative screens. E-Notebook Archive Existing customers of E-Notebook Enterprise can now optionally archive their existing E-Notebook database to make it searchable from within Signals Notebook. All original content is preserved and displayed, allowing for a smooth transition from E-Notebook Enterprise to Signals Notebook. Any interested customers should contact their account manager for additional details. This capability is only available to customers of Signals Notebook Standard or Private Cloud and requires additional licensing and services, it is not available for users of Signals Notebook Individual Edition. What’s New
This release continues our redesign of the search interface. We have added a few additional options and extended the Smart Folders (Notebooks, Experiments, Chemical Reactions and Chemicals) to use the new, underlying Search capability to give the interface a more consistent look and feel plus improve the performance of the smart folders for customers with many Notebooks and Experiments. We have also enabled ChemACX Explorer within ChemDraw documents stored within a Notebook and added additional date/time stamps. Further Details Search and Smart Folder Updates The Notebook, Experiment, Chemical Reactions and Chemicals Smart Folders have been updated to be consistent with the recent changes in the search interface. Any filters displayed in the folder can be clicked and immediately applied. Additional filters are accessible via the panel on the left hand side. We have added additional sorting, filtering and viewing options, these apply to both the smart folders and to the Advanced Search. Results can be sorted by ascending or descending name, creation or modification date. Advanced Search can also be ordered by decreasing relevancy score. ChemACX Explorer ChemACX Explorer is now available from ChemDraw documents added directly to a Notebook rather than as Chemical Reactions within an Experiment. Date/Time Stamps in Text Element We have added some additional date/time stamps especially to remove ambiguity in Month-Day assignments. This includes a date/time stamp consistent with ISO 8601 relative to UTC. |

What’s New
This release brings a redesign of the interface to our powerful search engine along with the ability for administrators to define custom Autotext for use by users in text elements. The following are available for users of Signals Notebook Standard, Signals Notebook Individual Edition and Signals Notebook Private Cloud
Before we describe the new capabilities, please be aware of this change regarding support for Microsoft Office. To keep up with industry standard best practices and ensure the security of our customer data, we now only support TLS version 1.2. Support for previous versions of TLS has been removed. This unfortunately prevents use of Microsoft Office 2010 (PC) and 2011 (Mac) for use with Signals Notebook. Please note that we no longer support these versions of MS Office and highly recommend that you update your version of MS Office immediately if necessary. Further Details Search Updates We have made major updates to the search interface to address both a need for combined structure/property searches and to make the experience much more highly intuitive. Entering the new search interface allows users to put in any text term for an immediate Quick Search. The Advanced Search provides immediate access to all the available properties for search without needing to understand any search query syntax. Users can search by text or by any combination of the available properties. Any of the filters applied can be displayed as tick or radio buttons along with a histogram of the number of hits against each of the values. Any properties displayed in the resulting hits can be added to the filters directly from the display. When viewing the results in the Card view, the size of the cards can be increased and decreased. Chemical structures can also be copied directly out of the cards. A new Gallery view provides a more detailed view of the search results including highlighting hits within the results. Users can also save search criteria as bookmarks to use again. Users of Signals Notebook Standard or Private Cloud can also use those bookmarks to define panels within their configurable dashboards to closely monitor experiments of interest. Please note that bookmarks are stored locally and are not shared between browsers or terminals. Autotext Note that this capability is only available to administrators and users of Signals Notebook Standard and Private Cloud. Administrators can now define custom text available to the user through the text elements, to harmonize language and aid data entry. The Autotext can consist of free text and lists of predefined values. The free text, Text Snippets, can also incorporate both Lists and Reagents/Products, Reaction Conditions and Solvents. Defining of the Lists and Snippets is available via the administrator console. The user selects Text Snippets or Lists through the Text Element toolbar. Alternatively the existing shortcuts have been extended. In addition to typing “#” to access reagents, products, solvents and reaction conditions, the user can access Text Snippets and any personal Text Templates by typing “$” and Lists through typing “!”. Hit Esc to insert these characters as free text. If any Lists are inserted via a Snippet or Text Templates, the value can be selected just by clicking on the List item. Assigning Reviewers and Sharing The behavior regarding Sharing Experiments and Assigning Reviewers has been modified. Now Assigning a Reviewer no longer assigns Sharing access to the experiment to the Reviewer. Reviewers without access to the experiment cannot be selected, only Reviewers with access to the experiment via Sharing or ACLs can be selected. With this release we are excited to announce ChemACX Explorer. This complimentary add-in will allow you to search, browse and explore the PerkinElmer ChemACX database of commercially available compounds. This database contains over 20 million containers, 10 million compounds and 700 vendors. Administrators please note that we also plan to deprecate the Global Read tickbox with the next update to Signals Notebook. If you wish all content to be viewable by all users on your system please enable a Global Read policy in the Policy Editor. Further Details ChemACX Explorer ChemACX is a PerkinElmer database of commercially available compounds. It includes over 10 million substances, 20 million containers and 700 vendors. It includes package and pricing information, chemical properties and access to Material Safety Data Sheets. ChemACX Explorer provides users with interactive access to the ChemACX database. Users can query by catalog name, CAS number or compound synonym, or by chemical structure to find compounds and the suppliers, pack sizes and properties of those compounds. If an interesting compound is found, the structure can be quickly added into an existing or new Chemical drawing in an experiment. Users can now also toggle through the structures in the ChemDraw drawing using Tab (Shift-Tab to reverse direction) to update the selected molecule. ChemDraw Round Trip Editing User can now send reaction schemes and ChemDraw documents directly to ChemDraw for further editing. Click on the “Edit in ChemDraw Desktop” button to launch the scheme in ChemDraw. Continue editing there and when you close that window the changes are synchronized back to your experiment. Note that this capability requires the use of ChemDraw 17.1 (PC or 17.1.1 (Mac) or above. Timeout update The timeout for Signals Notebook Individual Edition is now set at 30 minutes. Timeouts may vary for users of Signals Notebook Standard depending on administrative updates (see below). Updates for Signals Notebook Standard or Private Cloud only Administrators of Signals Notebook Standard or Private Cloud now have additional user privileges that can be applied to Roles. These privileges are: Trash Experiments: Users with this privilege enabled are able to Trash Experiments. Prior to this update all users could Trash Experiments, this update enables administrators to be able to withdraw this privilege. Trash Notebooks: Users with this privilege enabled are able to Trash Notebooks. Prior to this update all users could Trash Notebooks, this update enables administrators to be able to withdraw this privilege. Share Templates: Users with this privilege enabled are able to Share Templates. Prior to this update, the Share privilege applied to both Experiments and Templates. This will enable administrators to allow users to Share Templates but not Experiments, or visa-versa. Move Experiments: Users with this privilege enabled are able to Move Experiments between Notebooks. Prior to this update all users could Move Experiments, this update enables administrators to be able to withdraw this privilege. Administrators can also define the timeout period for all their users. The default setting is 30 minutes but timeout periods can range from 10 minutes to 1 day. What’s New
This update includes a substantial change to Signing and Witnessing workflows, especially to Signals Notebook Standard, some collaborative enhancements to Comments, a new way to use Experiment Templates and more. The following are available for users of Signals Notebook Standard and Signals Notebook Individual Edition
Before we describe the new capabilities, please be aware of this imminent change regarding support for Microsoft Office. We have a short term desire to improve our security handling, specifically around SSL (Secure Sockets Layer) and TLS (Transport Layer Security) to adhere with some imminent data security standards. However these changes will also force us to withdraw support for Microsoft Office 2010 (PC) and 2011 (Mac). These versions of Microsoft Office are already off of Mainstream Support from Microsoft but we have supported them up until now. We would like to achieve this change as soon as possible to minimize security concerns but with minimal impact to you. If you currently use these versions we encourage you to upgrade to a more recent version of Microsoft Office as soon as possible. We will continue to support Microsoft Office 2013 and 2016 including Office 365. Updates to Signing and Witnessing The Previous “Sign & Close” button has changed to read “Status” and the signing workflows have been improved. Two signing options exist for users of Signals Notebook Individual Edition, Sign & Assign Witnesses allows you to add Witnesses to your signing workflow. Sign & Close just closes the experiment without sending to a witness for review. The Reopen workflows have also been made more intuitive. Additional signing options may be enabled by the administrator for users of Signals Notebook Standard. Details are below. Signing can now also be initiated directly from the Status Badge Improvements to Comments You can now insert external hyperlinks, refer to other experiments and tag other users in the comments. Paste external hyperlinks directly, type “#” to start selecting experiments to link to, and “@” to tag other users. Element level comments are also now displayed at the experiment level for greater visibility. Chemistry updates You can now paste a variety of chemical formats directly into the ChemDraw sketcher. Copy your molecule as InChI, mol (2000 or 3000), or SMILES and you can paste it directly into the ChemDraw window. ChemDraw will recognize you are trying to add chemical content and convert everything to the correct structures. We have made a slight change to autotext of reagents. The inserted text will now also include the number of equivalents of the reagent. Finally, when looking at Chemical Reactions just hover over to see an expanded view of the reaction. Document Preview in Export to PDF In a recent update we added previews within Signals Notebook for MS Office (Word, PowerPoint and Excel) and PDF files. These previews are now included when you print your experiment (Export to PDF). The document size limit for generating a preview has also been increased. As a reminder, you can always choose to also include the whole original documents attached within the PDF. Make sure to use Adobe Reader to access the attachments, they do not show when displayed within a web browser. Append Templates We have always loved the ability to create experiment templates and use those to create new experiments more efficiently. We are excited to extend that capability to make it more useful to manage protocols. Experiment templates are now also available to add to an existing experiment. Choose to append a template from the Element picker and select the template you wish to use. The content of that template will be appended onto the end of your experiment. Updates for Signals Notebook Standard only Users of Signals Notebook Standard may have additional enhancements to the Signing and Witnessing workflows, depending on configuration by your administrator. We have added optional signing workflows, namely Sign & Keep Open and Void. As an administrator you can define which workflows are available to your users. You can also edit the signing statements, add preferred reasons for your users to add into comments, make comments optional or required, and choose to require your users to re-credential when signing or witnessing. Note that this last option is incompatible with single sign on. The additional states are also available to define rules in your security policy. For example, you can now define a “Global Read When Witnessed” rule. We have now completed our transition from the previous administrative screens to the new System Configuration Screens. The final phase of this transition included moving the Add User workflows. This update adds the ability to reactivate deleted users, and edit user groups directly from the edit user screen. Note that deleted users have had their content reassigned. If and when they are reactivated they do not get their content back, although access may still be enabled via your security policy. Lastly, there is now an additional field available for users called User Alias. This can be used instead of the users initials in setting up auto-naming rules for notebooks and/or experiments. Important Additional Note for System Administrators There are two upcoming changes that system administrators should be aware of. First, with the development of attributes and the capability to define ACLs via a security policy, the Global Read tickbox is no longer required. If you currently use that tickbox to enable a Global Read Policy you should untick the box and set up Global Read or another policy via the policy editor. The tickbox will be removed imminently. The second is an imminent change to support for Microsoft Office 2010 (PC) and 2011 (Mac) as outlined earlier in this communication. What’s New
This update brings some exciting new features to aid collaboration and some more updates to the stoichiometry table.
Bidirectional Links You can now define and set links between experiments. Links can be classified to provide context to the relationship between the experiments. A reverse link is automatically added to the destination experiment with the paired relationship. For example, an experiment that is indicated as a “Duplicate Of” another experiment shows that it is “Duplicated By” in the reverse link. The links created can optionally be maintained when copying an experiment and printed within the exported PDF. Addition and removal of links is reflected within the History. Notifications You can now receive notifications, within the app and/or by email, for key events such as Signing, Witnessing and Commenting. New in-app notifications are displayed under the Bell icon. Chemistry and Stoichiometry table updates You can now reorder the columns in the stoichiometry grid, just drag the column header and drop it at the desired location. We have also improved a mouse-over expansion of the compound names for cases where the product especially long compound names were not fully displayed. You can now drag and drop .cdx files directly onto the contents panel and have those files populate a reaction scheme and stoichiometry table. Previously this capability was only enabled for .cdxml files. We have also added Hexane, n-Hexane and cyclohexane to the list of available solvents. Add Zip files Signals Notebook now allows users to add a variety of zipped file formats such as .zip, .rar as attached files. Updates for Tenant Administrators Administrative updates are only available to customers of Signals Notebook Standard and Signals Notebook Private cloud and unavailable to customers of Signals Notebook Individual Edition. The User management capabilities have been moved to the System Configuration page from the previous User Administration page. This completes the updating of the administrative capabilities. The overall user management capabilities remain the same, from this page you can add users up to the limit of your purchased licenses, delete or edit users and reassign their content and download a template for uploading bulk users. We have updated the Country field to be configurable. We have also made a change to the behavior of notebook naming. Previously a user was prevented from creating a notebook with the same name as another notebook they could see via Sharing. We have extended that to also prevent a user naming their notebook the same as another notebook they can see via administratively defined security rules. As we add additional options for system configuration we strive to make these easy to understand and set up. However, for customers who would like additional help, training or want to expedite setup, we are also happy to provide consulting services. What’s New
This update contains the long-awaited security enhancements to enable administrators to define security rules around accessing experiments, along with host of other improvements. More details below.
Interactive History Accessing the History now enables you to access each version of each element within your experiment. Click on any line to open up that version, and then compare it to either the previous version or the latest version.. For any elements that support download, you can download that version of the element. You can also revert to that version. When Exporting to PDF you can optionally include a printout of the History. File Preview If you add a MS Office or PDF document to your experiment, we now display a preview of that document without you going into full screen mode. Note that there are some limitations. A preview will not be generated if your document exceeds 4Mb, or if it is password protected. Any elements in watermarks or hand-drawn with a stylus will also not be displayed. Spellcheck in Text Elements Text elements now utilize the spellcheck built into your browser. This has the advantage of sharing your dictionaries across web applications. This removes the ability to right click to insert Tables and Images into text elements, but these Insert operations now appear under an Insert menu. Links to Training videos There is now a link to a site where we will continue to post instructional videos around new capabilities. The link is found in the menu under your username. Updated workflow for New Experiment The New Experiment workflow has been reorganized. You now select a template first as this may control auto-naming rules and any requirements to add Attributes such as a Project. If there are required or optional attributes to add, these can all now be completed from the New Experiment screen. Note that Attributes are defined by the tenant administrator and hence are only available for users of Signals Notebook Standard. Attributes displayed in Chemical Reactions card and list views Attributes such as Project, defined at the experiment level, are now displayed within the view of Chemical Reactions. These can then be applied as sticky filters. Note that Attributes are defined by the tenant administrator and hence are only available for users of Signals Notebook Standard. Stoichiometry table updates We have made a few small changes to the stoichiometry table. We had previously added the ability for you to define your own columns in the table. These columns will now be available for text search. No range based searching will be enabled. The format for the search is: “reactants.my column name: search term” We have also added two additional columns, namely Lot Number and Supplier. These are both text string columns and are, by default, hidden. These columns will be available for text search. We have also added a mouse-over expansion of the compound names for some cases where the product name cannot be fully displayed in the view of the stoichiometry table. Especially long names still cannot be fully displayed however. Finally, we realized that there was some ambiguity about the inherent number of significant figures in the calculated values, specifically where there are trailing zero’s, for example “100” can be 1 significant figure with 2 trailing zero’s. To clear up this confusion we will now display all values with non-significant trailing zero’s in scientific format. As a reminder, we calculate values using the accuracy of the data entered by you. Updates to Comments Comments can now be made on experiments that are closed, previously we limited commenting to only Open experiments. We have also resolved an issue with wrapping of comments. Updates for Tenant Administrators The next phase of our update to administrative capabilities have been made available this month, details of which follow here. Note that these enhancements are only available to the tenant administrators of Signals Notebook Standard. The login screen to the System Administration screen has been updated to make it easier to navigate. Tenant administrators can now define Attributes with list values. This allows you to define controlled syntax for properties such as Project, Location, Confidentiality, Department etc. These attributes can then be added in System Templates where you can define if they are optional or required, and if required if they are required on experiment creation or upon Sign and Close, and if there is a default value. Tenant administrators can also associate User Groups with the attribute values to limit the values any given user can see. Furthermore the tenant administrator can define a security policy including basing it on the attribute values within experiments. For example, the tenant administrator could define a security policy whereby experiments are only viewable by other users in the same department and the same location, or the same department or the same location, as the experiment author. A Global Read policy can also be defined. We recommend defining Global Read, if desired, through a policy rule rather than through the existing tickbox in the System Settings. We will eventually remove this option from System Settings. The System Administrator guide has been updated with documentation including examples of setting up the security policy for a number of scenarios. The Signals Notebook team has been working diligently over the last month to bring
you new features and capabilities, we hope that you find some of these to be useful
and to aid in your productivity. We also wanted to highlight that these improvements
are only possible due to input from you, our customers. You bring us both issues
but also ideas for improvement, and valuable feedback on how to deliver the capabilities
you need. The product is better because of you.
What’s New As promised, this update includes some administrative updates to enable tenant administrators to better manage users and internal business rules. We have also made some improvements to the search experience and a few other updates, as follows.
Naming Update We are changing the name of our higher level offering, Signals Notebook, to Signals Notebook Standard. The name of Signals Notebook Individual Edition will remain unchanged. Signals Notebook Standard offers administrative control of an organizations users and data along with application of organizational business rules. An article explaining the difference between Signals Notebook Standard and Signals Notebook Individual Edition can be found here. This name change will make no difference to the application itself but will be reflected in supporting information. Updates to Search Numerous updates to the search experience have been made this month, details of which follow here. Examples of date based searches have been included in the search window. Date based searches are supported on the “created” and “edited” fields, and queries can include date ranges, before a date, after a date, and also current minus a time. Dates are in UTC format, YYYY-MM-DD. Previous Chemical searches are automatically retained. Click on a previous search to select that query to rerun. Up to 12 searches are saved. Note that the searches are saved locally and will not be available if you use a different terminal or browser. Previous text searches are also retained, up to 7 prior searches are remembered and available with type ahead recognition. Text searches can additionally be saved for indefinite use. Note that the searches are saved locally and will not be available if you use a different terminal or browser. Search results have always been ordered via a relevancy scoring, in order of decreasing relevance. In cases where relevancy scores are equal, search results are now additionally ordered by decreasing time since the last edit. The Purity property from the Products table in the stoichiometry grid is now available for range based searches, the value is normalized to %. Queries such as purity:>95 are now supported. Finally, the extensive section on searching in the Help files have been extended with additional examples, especially examples around the use of Operators such as AND, OR and NOT, and around searches of normalized properties such as mass, temperature, volume, yield, purity etc. Support for addition of macro enabled MS Office files Macro enabled Microsoft Office (Word, Powerpoint and Excel) files can now be added to experiments. Additionally Microsoft Office template files can also be added. Files with a .xlsm, .docm, .pptm, .xltx, .dotm, .dotx or .potx extension will no longer be blocked. The macro-enabled files are rendered in Signals Notebook and can be edited locally and in Office online. Macros will be available to run when using MS Office locally. The files will be viewable when using Office 365 but the macros will be prevented from running. Excel template files (.xltx) are not rendered in Office online but are when editing locally. Individual Dashboard Builder Users can now configure their own dashboard to present the information they want to see, such as specific lists of experiments being sent for Witness or in other steps within Signing workflows. Access the configuration by clicking in the top right hand corner of the dashboard. From the configuration screen you can add, remove or reposition dashboard elements, or widgets, and configure their usage. Note that the Individual Dashboard Builder is only available in Signals Notebook Standard and not available to users of Signals Notebook Individual Edition. Updates for Tenant Administrators The first phase of our update to administrative capabilities have been made available this month, details of which follow here. Note that these enhancements are only available to the tenant administrators of Signals Notebook Standard. Tenant administrators can now request that access to their systems be limited by IP address, either a series of addresses or a range. A new System Configuration interface has been added. The existing system settings has been moved into this interface. The legacy User Configuration screen is now only used to add new users. Administrators can now define roles with combinations of privileges. Roles can be added to users. Administrators can also define number sequences to be included within experiments and notebooks. This can be used to create auto-numbering of notebooks and experiments for organizations who do not desire freely editable experiment names. Once defined, number sequences and other text metadata can be added into system templates which can define which fields are mandatory, editable and other business rules. A future update whereby administrators can provide metadata incorporating lists with defined syntax is anticipated soon. An administrator can also view History for metadata types that have been defined. An updated Tenant Administrator Guide, and a modified User Guide specific for users within private tenants (Signals Notebook Standard) are provided. Other updates Notebook, Experiment and Chemical Reaction dashboards have been updated to show the Creator of the content rather than the Owner. We added an update to prevent interaction with Signals Notebook when network connection is lost. As a reminder, more information about Signals Notebook is available on the product homepage here.
